To archive emails from Microsoft Outlook installations, MailStore Client - a Windows tool - must be installed on the corresponding user computers. The client passes the emails to the central MailStore Server archive. Alternatively, PST files can be archived centrally.

Archiving All Incoming and Outgoing Emails Automatically

By using the MailStore Proxy Server, all incoming and outgoing emails can be archived automatically even if no separate email server, such as Microsoft Exchange Server, is on hand. The MailStore Proxy Server is available to all MailStore Server customers free of charge.

Storage Technology

MailStore uses high-performance storage technology that is completely scalable: MailStore Server can easily process even large amounts of data and serve companies with over 1,000 mailboxes and users without reaching any limits of performance or capacity.

Unlike other archiving solutions, MailStore does not store data in one single database which over time will eventually reach its limits of performance. Instead, a MailStore archive can be composed of any number of individual archive units also called file groups.

Each archive unit consists of:

  • Embedded database - Here, header and administrative information is stored
  • Full text indexes - These are set up for each user and provide for fast searches of emails and file attachments
  • Container files - In these encrypted files, with a manageable size of about 8 MB each, the actual data is stored

Regularly adding new archive units (e.g. every quarter) ensures continually high performance for searching and archiving tasks; it can be done either manually or automatically. Even though there may be any number of archive units, users only see one complete archive.

Flexible Memory Management

Administration of the archive can be done at runtime. Existing parts of the archive, for example, can be moved to different hard drives or network drives without having to disrupt operations.

Partitioning the complete archive into individual archive units also simplifies backups. Old parts of the archive can be write-protected and thereby excluded from ongoing backup procedures; a one-time backup is sufficient.

Access to the Archive

All users can access and browse their archived emails within fractions of a second. There are several ways to access the archive.

Add-in for Microsoft Outlook

The Outlook add-in enables users to access the archive without having to leave their familiar working environment. The add-in is compatible with Microsoft Outlook 2000, XP, 2003, 2007 and 2010 (currently 32-bit only).

Access via IMAP

MailStore Server comes with an IMAP server which enables users to access their archives using most email clients and mobile devices including iPhone, iPod touch and iPad (read-only access). The integrated IMAP server can be enabled in MailStore Server Base Configuration.

MailStore Web Access

With MailStore Web Access it is possible to access the archive via any given web browser. MailStore Web Access offers not only a full search and display function for archived emails, but also offers access via folder structure and functions for restoring emails from the archive.

In order to ensure high productivity, users need efficient access to historic emails:

Localized end-user interface
The Outlook Add-in and Web Access are available in these languages: German, Dutch, English, French, Hungarian, Italian, Japanese, Polish, Portuguese, Spanish, Turkish and Chinese (simplified and traditional).

Full Text Search of Emails and File Attachments
With MailStore Server‘s fast and powerful full text search, you can browse any file attachments (e.g. Microsoft Word or Adobe PDF files) and save complex queries for reuse.

Access through the original folder structure
MailStore Server applies the original folder structure from the source. In practice this means that folders created in Microsoft Outlook or in an Exchange mailbox, for example, can be found in the Mail Store archive unchanged.

Depending on the assignment of permissions, individual users can also access parts of the archive allocated to other users.

Individual emails or entire mailboxes can be restored from the archive with a click of the mouse.

MailStore Server is not a one way street
Archived emails can be exported from the archive at any time. By using one of the many export functions and formats provided by MailStore, your business’s independence - even from MailStore itself - is ensured for years to come. MailStore supports:

Export and Recovery

Disaster Recovery
Should your email server (e.g. Microsoft Exchange) fail completely, MailStore Server can restore all mailboxes to a new email server in the form of a disaster recovery.

Independence from MailStore
The content of the entire archive can be exported in standard formats (e.g. RFC822 .eml files). The exported emails can be processed by any email or archiving system providing your business with long-term independence from MailStore.

With a click of the mouse, users can restore individual or multiple emails directly from their respective user archive; no longer are administrators needed to perform elaborate procedures to restore emails

Backup of the Archive

Built-in archive backup
You can create a full backup of your archive right out of MailStore Server by using the built-in archive backup function, which allows to store the backup on any filesystem such as local directories, network shares and USB attached storage. The backup includes all archived emails as well as all settings, like users and permissions.

Backup of archive data using external software
A backup can be performed using existing backup software which simply backs up the MailStore data directories. The setup of the archive data was optimized for incremental backups.

Backup to CD or DVD
MailStore can burn the entire email archive, or parts thereof, to CD or DVD. MailStore comes with all necessary components and does not require any other software to be installed. This archiving method is particularly suitable for backing up smaller archives or surrendering parts of an archive to third parties (e.g. auditors).

Restoring a backup
In the event of damage or loss, an existing backup can be restored to a new installation of MailStore Server within minutes. Because the backup not only contains the archived emails, but also includes all settings (such as users and privileges), the resulting downtime is minimal. The recovery can be performed as simple copy procedure in the file system.


MailStore Server has been audited according to the German IDW Auditing Standard 880, Issue and Use of Software Attestation Reports (IDW AuS 880). The IDW (Institut der Wirtschaftsprüfer in Deutschland e.V.) is a Member of the International Federation of Accountants. The Standard IDW AuS 880 corresponds to the requirements of Sarbanes-Oxley Audits (SOX) which reviews controls, policies and procedures during a Section 404 audit.

The audit along IDW AuS 880 considered aspects like integrity, accuracy and auditability of software products.

Technical Features:

With MailStore Server, emails can be archived immediately upon sending and receiving. Businesses with Microsoft Exchange Server can do so by archiving the Journal mailbox; businesses without Microsoft Exchange Server can use the MailStore Proxy server which is available to all MailStore Server customers free of charge. Additional information about archiving all incoming and outgoing emails automatically is available in the MailStore Server manual.

Accordance with the Original
All emails and file attachments are archived without any loss of data; they are MIME compatible and can be restored at any time.

Ensuring Long-term Access to the Archive
MailStore Server does not tie to a proprietary file format. All archived emails can be exported in one easy step and at any time in standard format according to RFC822, which has been in existence for over 25 years. The exported files can be opened and processed by most email applications. In addition, MailStore offers a wide range of export and recovery functions.

Implementation of Retention Periods
Emails can be stored in the archive in blocks sorted by year or month, for example. More recent blocks (e.g. less than ten years old) can be write-protected, while older ones can be completely detached from the archive.

Data Confidentiality
An integrated system of privileges ensures that only authorized users are able to access each archived email.

Preventing Users from Deleting Emails Intentionally or Unintentionally
Through the MailStore user management, users can be entirely prevented from deleting any emails.

Preventing the Manipulation of Email Contents
MailStore uses different procedures and technologies to prevent the manipulation of email contents:

  • Creation of SHA1 hash values using email contents
  • Internal AES256 encryption of email body and file attachments
  • No direct access to the archived data using MailStore Client software
  • Modification of email contents is neither provided for in the graphical user interface nor internally within the program
  • Automatically archiving all emails immediately upon sending and receiving prevents them from being manipulated before being stored in the archive
  • MailStore Server directly supports the additional backup of data to WORM media; this can also be done by applications of other manufacturers, if needed

Beyond that, IT administration must ensure that only authorized persons receive direct access to the MailStore Server system and the underlying archive data.

Access to the Archive for Auditors
MailStore Server provides for the setup of user accounts with read-only access to the entire archive or parts thereof. Using the full-text search feature of such an account, auditors can browse and view the archived emails and, if needed, export individual or all emails in various formats for further use.
